Receptionist/Admin - Benoni

Introduction

Reception/Office Administration required for an IT company based in Benoni.

Duties & Responsibilities

  • Answer and direct telephone calls and e-mails.
  • Communicate with customers, employees, and Directors to answer questions, address complaints, explain information, and take orders.
  • Operate office equipment, including computers, printers, photocopiers and scanners.
  • Manage customers and public interactions on various online platforms including website and social media.
  • Maintain updated systems for filing, inventory, mailing, and databases.
  • Handle incoming and outgoing office correspondence.
  • Compile and maintain records of office activities and business transactions.
  • Type, format, proofread and edit documents from notes or dictation.
  • Prepare meeting agendas; attend meetings to take notes and write minutes.
  • Manage work schedules, calendars, and appointments.
  • Obtain information to respond to requests by reviewing files, documents, and records.
  • Place supplier orders and follow up until goods are delivered.
  • Take customer orders, process them and follow up until goods are delivered to customers making sure customers are updated all the way.
  • Ensure that that the office is customer-centric at all times.
  • Take inventory and order materials, supplies, and services as needed.
  • Troubleshoot problems that arise with office equipment.
  • Perform basic bookkeeping and banking transactions, including creditors payments, allocating receipts.
  • Prepare and mail bills, invoices, and contracts.
  • Liaise with Logistics and courier companies.
  • Attend to customer requests and queries and resolve timeously and escalate where necessary.
  • Liaise with Accountants and assist with collating of information and records for preparation of Accounts.

Desired Experience, Qualifications & Skill sets

  • Excellent time management.
  • Proficient in the use of computers, including accounting software, database software.
  • Prior secretarial experience preferred, but not required.
  • Strong communication skills, verbal and written, ability to interact productively with supervisors.
